Office Assistant - Chardon, OH Office

Success Determined by: 

  • Records information from all customer interactions into our CRM or Teams with 90% accuracy.
  • 100% responsible for scheduling Preconstruction and Annual Service appointments as needed with 90% accuracy.
  • Reaches out to Customers as needed for project management and campaigns.
  • 100% responsible for taking care of office/facilities and facilitating inside sales of products and materials for Estimator as customers come to our Chardon, Ohio location.
  • Responds consistently within 2 rings to all incoming calls, texts, web inquiries, and emails, handles the issue if possible (scheduling appointment, taking a payment, answering a question) or transfers to the appropriate team member as needed. 

 Key Responsibilities 

 

Office & Facility Management 

  • Welcome all guests, clients, and team members with warmth, courtesy, and professionalism.
  • Ensure the lobby, reception, and shared spaces are clean, organized, and always guest-ready.
  • Take Customers through in house show room to view as needed.
  • Provide a positive, polished atmosphere that reflects DBC’s brand and core values.
  • Serve as a primary customer touchpoint, supporting a seamless start-to-finish experience.
  • Monitor and reorder office supplies regularly, ensuring proper inventory levels while staying within the office budget.
  • Keep supply areas clean and organized.
  • Coordinate light maintenance requests or vendor interactions as needed.
  • Sort and distribute mail and packages.
  • Help with filing, scanning, data entry, and other administrative tasks.
  • Support office meetings and small projects as requested.  

Marketing & Team Support 

  • Assist with preparation, setup, and logistics for DBC home shows required.
  • Participate in continuous training on customer service best practices and appointment-setting skills.
  • Stay up to date on new processes, scripts, and standards from Contractor Nation that elevate the customer experience.
  • Collaborate with the Appointment Center Manager and customer service teams to improve workflow.  

Appointment Center Support 

  • Act as backup for the Appointment Center Manager, assisting in setting initial project appointments.
  • Schedule and coordinate pre-construction appointments with clients and internal teams.
  • Schedule and coordinate service appointments with clients and service department 

Qualifications: 

  • 2+ years previous experience in reception, call center, appointment scheduling, or sales support is required.
  • Ability to manage projects, communication, or data from start to completion.
  • Experience with CRM software and Microsoft Office required.
  • Strong interpersonal communication and a warm, polished professional demeanor.
  • Ability to multitask effectively in a busy environment.
  • Professional appearance and reliability.
  • Willingness to participate in ongoing training and skill development.
  • Ability to work both independently and as part of a team.
  • Strong organizational and multitasking abilities. 

Physical Requirements: 

  • Seeing – Must have sufficient visual ability to read information on a computer screen.
  • Hearing – Must be able to hear well enough to communicate via telephone and in person.
  • Grasping/Feeling – Must be able to operate a computer and telephone efficiently. 

 This role is primarily sedentary, with occasional requirements for walking, standing, and lifting objects weighing up to 20 pounds. 

 

 

Compensation, Hours & Benefits:

  • Rate $17.00-19.50/hour
  • Schedule: Monday-Friday, 10am-5pm.
