Director of Operations

 

Essential Job Functions

  • Works with the COO to shape strategic plans and budgets for the production department, then drives their execution through to completion.
  • Leads, coaches, and holds Project Managers accountable to consistent standards of communication, professionalism, and operational discipline — developing them rather than doing their work for them. Assists with hiring, orientation, allocating work, setting performance expectations, evaluating outcomes, recognizing excellent work, and recommending wage changes, promotions, or transfers.
  • Develops senior project managers into strong leaders who can lead project managers and foreman to run crews, maintain professionalism, solve problems, and deliver a high-quality customer experience.
  • Builds and improves the systems, processes, and workflows that let jobs move smoothly from the sales handoff through completion — creating consistency, efficiency, and the ability to scale, and reducing the department’s dependence on any one individual.
  • Monitors and analyzes KPIs, scorecards, budgets, labor performance, backlog, callback trends, crew utilization, and hiring needs to catch problems early, stay ahead of bottlenecks, and protect profitability by reducing inefficiency, rework, and labor overruns.
  • Produces clear, decision-grade reporting and forecasting for company leadership — including production schedules visible across departments, revenue projections by service type so there is clarity on the runway for each division, and monthly budget reporting.
  • Runs a consistent production leadership cadence, including a weekly leadership meeting with Senior Project Managers where weekly priorities and quarterly goals are set and completed.
  • Ensures overall customer satisfaction through general oversight of projects. Handles customer and personnel issues that genuinely exceed a Senior Project Manager’s capacity, while building the systems and developing the people so that fewer issues need to escalate over time.
  • Sets and maintains a regular production training schedule covering skills and safety, utilizing team members to train the department, and keeps it on track.
  • Regularly inspects jobsites and field operations to verify craftsmanship, cleanliness, safety, customer satisfaction, and adherence to company standards.
  • Assists in finding and overseeing subcontractors and suppliers, and provides oversight of project-related scheduling, material ordering, deliveries, drawings, and permits — through the Senior Project Managers and Project Managers who own those tasks day to day.
  • Oversees the warehouse and inventory to ensure efficient use, organization, and cleanliness, and oversees Service Manager and technicians and service-related business functions.
  • Manages the department’s budget and helps Senior Project Managers manage theirs, with regular reporting, to keep the department fiscally responsible. Assists with and reviews bonus reporting and job autopsies at the completion of projects.
  • Manages production department activities across all territories (NWPA, SWNY, and NEOH)

Key Performance Indicators

The Director of Operations owns the Production Department-level results and the trends behind them including:

  • Dollars per Crew / Week
  • Gross Profit Margin per Team, including margin fade (sold vs. actual)
  • Labor Efficiency (actual vs. estimated hours)
  • Callback / Rework Rate
  • Customer Satisfaction

  • Service Manager / Technician(s)

Necessary Knowledge, Skills, Abilities, and Talent

  • Master-level knowledge and experience in the construction industry.
  • Proven ability to build systems and processes that continue to run well without the leader’s constant involvement.
  • Strong, results-oriented leadership — able to rally and align a team, drive initiatives through to completion, and hold the line on standards.
  • Sound judgment — reads data, scorecards, and field conditions to evaluate whether people and systems are performing, and to catch problems before they become expensive.
  • Strong comfort and skill with data and technology — analyzing KPIs and backlogs and working confidently in databases and spreadsheets such as Excel.
  • P&L and budget experience.
  • Skill and experience in team building, coaching, mentoring, and training.
  • Able to hold direct accountability conversations about performance, professionalism, and standards without absorbing conflict or taking it personally.
  • Delegates and develops rather than does; self-motivated and results oriented.
  • Strong verbal and interpersonal skills, and skill in operating a personal computer and computer programs.

Education and Experience

  • Minimum of 8 years of experience in construction, at a master level.
  • Minimum of 5 years of experience in business, management, team building, or related activities.
  • Demonstrated experience owning P&L or department-level financial results and managing to a budget.
  • Demonstrated experience scaling or growing a business, department, or operation.
  • Demonstrated experience using computer programs, databases, and spreadsheets to manage and report on operations.

Compensation and Hours

  • Bi-weekly pay
